The BAYS guest player policy was created to help reduce the number of games being rescheduled but it is only intended to help with planned absences. The process takes time to implement and cannot be used to cover last minute absences. Please work with your parents early in the season to identify the games where you will need guest players and notify your travel director as soon as you know. WYSA does not guarantee that a guest player(s) will be found and below are the policy details, including the link to the BAYS policy.
Deadlines
- Deadline for a coach making a guest player request is six days in advance of a game. I.e., the Sunday before the next weekend’s game.
- Guest player process must be completed by EOD Wednesday night before the weekend of the game, at the latest. We will not review requests made after this date. The deadline to cancel a game; should the guest player not help a team’s situation; is Thursday by 7PM.
Players
- Players must prioritize their assigned team and cannot skip their assigned team's game to be a guest player.
- Coaches must reach out to the travel directors for their gender/age group to start the process and be given the proper guest players. Coaches and teams will not be searching for guest players on their own. [email protected] and [email protected].
- If a team uses an ineligible guest player and the roster is challenged, then the BAYS Division Director will forfeit the game for the offending team.
- Players may only play up a division, players may not play down.
- A maximum of 4 guest players per game is allowed.
- Grades 4-6 may only request guest players up to 1 available sub. Grades 7/8 may request guest players up to 2 available subs.
Rosters
- During game day, coaches must print out two guest player rosters, in addition to the regular rosters, which will be sent to them by the WYSA registrar and given to the game day referee. *Important – BAYS needs two rosters from each individual team guest players come from. i.e., If there are two guest players playing from two different teams, there will be 4 additional rosters to the 2 game day rosters.
- The coach using guest players must write the BAYS game ID for that game on all the submitted rosters for that specific game. Coaches should hold onto those rosters until the end of the season.
- Finally, if a WYSA coach suspects that there is an ineligible guest player on the opposing team, they are to play the game in its entirety and then reach out to the WYSA travel directors. Should the WYSA travel directors agree, the club will then reach out to the BAYS division directors to sort out.
